What the notice program does for this project

Kestra stays fully occupied for all 14 months. Every resident is a neighbor to an active demolition wall, a scaffold leg, or an open window opening. The notice program is how we convert that disruption from a surprise into a scheduled, documented event.

A resident who was told on Monday that saws start Thursday does not call the management office on Thursday. Notice volume moves the call from Greystar's leasing office to Dueall's superintendent, where it can actually be answered.

Unprepared units are the number one cause of lost crew days on occupied restoration: cars in the way, screens still in place, balconies loaded, no one home to let the crew in. Advance written notice with a hard deadline and time is what keeps a 9:00 AM crew productive at 9:15.

Liability and damage documentation

Every notice states, in writing and before the work, that demolition vibration can crack drywall and drop wall hangings, and that valuables must come off balconies. Delivery is photographed and logged. That record protects the Owner as much as it protects Dueall.

A system, not ad hoc memos

These are Dueall's standing templates, already in use on occupied restoration work. Kestra gets the project-specific version of a form that has already been through the field. Nothing here is being invented on the fly at month seven.

Notice cadence against the 14-month sequence

Each marker is a notice that hits resident doors. Positions are calculated from the contract sequence: Building 1 first, Building 4 in parallel across the pond, Building 2 third, Building 3 last after Building 1's scaffold is released. Click any marker for the notice detail.

Notice register and delivery volume

The full standing set. Counts are calculated from the Kestra unit and building inventory, not estimated: 61 units in Building 1, 69 in Building 4, 86 in Building 2, 64 in Building 3.

Notice types N-06 and N-08 are targeted rather than building-wide. N-06 goes to fourth-floor units under active roof tear-off. N-08 goes to the units selected for ASTM E1105 water testing at 10% of reused openings per building, per Engineer direction. Weekly look-ahead sheets are posted at mail kiosks and are counted as postings, not door deliveries.

These are the real documents, project-specific, ready for the Owner's review. Printed as 4.25 × 11 door knockers for unit doors and as 8.5 × 11 handouts for the Owner's representative and mail kiosks.

How a notice gets out the door

Nothing reaches a resident without the Owner's representative seeing it first. That is the control that makes direct-to-resident delivery safe for Greystar.

Drafted off the look-ahead

Superintendent pulls the three-week look-ahead, fills the project template with building, elevation, dates and times. No blank fields leave the trailer.

Door knocker on every affected unit door a minimum of 10 business days out, plus posting at mail kiosks and the leasing office, plus PDF to the Owner's rep for email distribution.

Logged with photo

Delivery date, time, building, unit range and a photo of the posted notice go into the daily log. That log is the documentation record if damage or access is ever disputed.

For interior access work, a second reminder knock 48 hours prior. Non-responders are escalated to the Owner's rep for contact, not left to block the crew.

What we need from the Owner and Engineer

From Greystar

  • Approval to deliver directly to unit doors. Notices reach residents faster and more completely as door knockers than through a single office distribution. Every notice is still Owner-approved before printing.
  • A named representative and a 48-hour review commitment. One reviewer, one inbox. A slow review window pushes the notice inside the 10-day lead and the work moves.
  • Current resident contact list with preferred contact method, refreshed monthly. Communication and accessibility drive the interior repair duration directly.
  • Approved kiosk and leasing-office posting locations, and confirmation that Dueall may post there.

From Slider Engineering Group

  • Water test unit selection early. Once the 10% of reused openings per building is identified, those residents can be noticed inside the same cycle instead of on short notice.
  • Prompt direction on reinstall versus replace. Section 08000 gives the Contractor the option to replace an assembly in lieu of reinstallation. A replacement carries lead time, which changes the dates we have already published to that resident. The earlier that call is made, the fewer notices we have to reissue.
  • Mock-up acceptance dates. Mock-up and SEG acceptance sits on Building 1 and gates the first real cladding notices.
  • Confirmation of the building order at the pre-construction conference, so the notice calendar can be locked and issued to Greystar for the full 14 months.
